Branch Mailing Request Form FAQs
 


Use Mailing Request Form to arrange a mailing.

You can order:

• Lists of member names
• Lists of member addresses

All lists will be emailed. Allow 5 working days for delivery.
• Address labels for postal mailings
• CILIP envelopes for postal mailings

All address labels and envelopes will be posted.
Allow 7 working days for delivery.

CILIP maintains a central database of members which we update on a daily basis. It is essential that Branches and Special Interest Groups use this form every time you require a list of member names, addresses, mailing labels or to arrange a postal mailing.

If you are printing publications or inserts we ask you include the print run on the form. You need to contact the Membership Team for an exact figure. We do this so you can avoid overprinting costs and plan to have enough spare copies for yourself.

Please note that we will no longer accept list and mailing requests on an ad-hoc basis by phone, post or email.

Frequently Asked Questions 

Q. I’m going to contact my members more than once this month. Can I re-use the list you provided me?
A. No you can’t reuse lists because our data is continuously updated and re-using out-of-date lists constitutes a breach for the Data Information Act.

Q. Can I send a newsletter or insert with the Update or Gazette mailing?
A. Branches can send their newsletters or inserts with the Update or Gazette magazines, but only to be sent to a whole Branch(es) and this would be free of charge. We do not provide this service to a part of the Branch(es) or to Special Interest Groups. 

Q. Would you send me back leftovers from my mailing?
A. No, CILIP holds no responsibility for dealing with mailing leftovers. Please make sure you inquire about your current print run in advance before you start printing and add to it the number of copies you will require and make sure that your copies are sent to you directly.

Q. Is it possible to use the CILIP print room?
A. Yes, you can use the CILIP print room and there is normally a cost but it would be much less than using private printers. Please liase with our print room directly on printroom@cilip.org.uk for more information regarding cost and dates and make sure that the Membership Team is informed once the print job is ready.

Q. Are the labels and envelopes provided free of charge?
A. Only the labels are provided free of charge but there is a cost for the CILIP branded envelopes, which is £9 for every 250 C4 plain envelopes and £11.60 for every 500 C5 plain envelopes.

Q. Does it cost the same price to post items in C4 envelopes or in C5 envelopes (folded)?
A. It costs much less to fold newsletters and post in C5 envelops (if it is possible without compromising the item) and normally our printers charge a very small fee for folding these items.
