Meeting of CILIP sub branch committee 19th March 2008

One Day school

Time 10 – 1, on the 29th May. Subject: Web2 and Libraries. Speaker: Phil Bradley
Paul and Gavin are making up a publicity sheet that we can all email to our various lists. Cost £15 to CILIP members, £25 non-members. First time we have had a variable rate. Paul said that the South East branch meeting felt that there had to be a differential rate to encourage CILIP membership, for all events.
We need to send this to various email lists that we all belong to. Send to Claire to put on the website as well. Send to Local Authorities as well (Gavin to arrange).
Catering – tea, coffee and biscuits. Caroline to arrange. Tea and coffee on arrival and at half time.
Wednesday of week before, 21st, cut off date for applications to the day.
Finance
Paul North unable to get to Treasurers Day and still needs to get accounts audited. Paul has asked for £300 this year from CILIP as we had carried over £300 from last year. Bid was submitted on the basis of one day school breaking even. If it doesn’t we are able to apply for emergency funding. At the South East Branch meeting Paul North found out that branches will no longer be an automatic free membership of your CILIP membership, it will be one of your special choices, so this may have a detrimental effect on our branch membership, and therefore our capitation.

AGM

We felt that there was no need to hold one this year as agreed by branch meeting so long as we catch up this year and hold one before the end of March 2009.
Visits:
SE committee would like all the sub branches to arrange 5 events a year. AGM counts as one, one day school another, so we need to add three more events to make up to five. Please email suggestions for places that people would like to visit to Gavin or to Caroline.

Date of next meeting :October 16th in the afternoon. Venue to be arranged.

CILIP, SOUTH EAST REGION, KENT SUB-BRANCH

Meeting held on 10th October 2007 before AGM

1. One Day School. The date for this is confirmed as Wednesday 28th May. The title is ‘Up Close and Personal’. We discussed possible keynote speakers of Phil Bradley and Peter Ryan. Other participants for the day that we discussed were: EBSCO to give us an overview of e-journals, and TECHDISK who would tell us about personalised access for our disabled customers. Sandra Danton would look into booking the Skills for Life programme speaker as well. The location would be at Christchurch University – Paul to book this.
2. Gavin Wright agreed to take on the visits programme from Keith Rundell who left us. We all contributed thoughts of different types of places to visit, not only new libraries, but examples of best practice in all fields – Book Bars, Poetry Library, School Libraries, etc. Gavin to investigate places to visit to widen our scope
3. Sandra will represent us on the 23rd October at the South-East branch committee meeting at CILIP (date now put off until after Christmas)
4. Claire Yalden was voted as the new web editor, taking over from Caroline Roche. She will take on the role of updating the website. She will look into putting a suggestion box on the site for visits, etc. Looking to be able to book the One Day School online. 5. Publicity: Gavin reported that we got several replies to our flyer asking people to give us their email address to save on postage, with only a few wanting to keep traditional post.
6. Sandra Danton as vice-Chair read the report that she was going to give to the AGM that evening. All the members approved the report.
7. Paul North handed out copies of the financial report which would be handed out at the AGM; he went through the report and it was approved.
8. Next AGM would be on the 19th March at South Kent College, Ashford. Although it is very soon after this AGM, it was unanimously felt that we needed to get back in step with the traditional time for having the AGM. This year’s was late as we had the membership crisis and didn’t know whether we would have to fold the group.
9. A workshop would be held to put together the One Day School between Sandra, Caroline and Paul on January 30th, 2.30 at Holmesdale. Details would be passed on to Claire and Gavin for publicity, and to other members.
10. Date of next full meeting will be 19th of March, before the AGM, at South Kent College, Ashford.
